Guide: Crew
You've been invited to help run an event. Here is how to get from the invitation email to scanning guests at the door.
Step 1: Open the invitation
Look for the email "You're invited to join the crew: …" and tap Accept Invitation. Check your spam folder if it hasn't arrived. The link is valid for 7 days.
The invitation page shows the event, your role and when the invitation expires. Tap Accept Invitation.
Step 2: Sign up or log in
If you're not signed in, you see Login Required. Choose Create Account if you're new, or Log In if you already have an account.
On Create Account, your invited email is already filled in. Keep it: the invitation only works for that email.
Step 3: You're on the crew
After you sign up or log in, you come straight back to the invitation and it is accepted for you. Tap Open crew app. Verify your email when asked (this happens once).
Step 4: Get the crew app ready
The crew app lives at my.gatherhub.app/ops and lists every event you crew.
- Open it on your phone and add it to your home screen from the browser menu.
- Allow camera access when asked.
- Open it once on Wi-Fi before the day, so it works with a weak signal.
Step 5: On the day, Scan
Open the event and tap Scan (the centre button). Point the camera at the attendee's ticket QR. If the camera can't read it, tap Type code and enter the ticket number printed under the QR, or use Find guest to look the person up by name.
Scanning opens 1 hour before the event starts. Before that, the app opens on the Live view.

If something goes wrong
| Problem | What to do |

| No invitation email | Check spam, then ask the organiser to Resend it |
| "This invitation was sent to a different email address" | You're signed in with another email. Ask the organiser to invite the email you use |
| Invitation expired | Ask the organiser to invite you again |
| Already have a GatherHub account | The organiser can add you directly. You get a notification and skip steps 1 to 3 |
One account for every event
You only sign up once. Every event you're added to shows in the same crew app.
